Knowledge, Skills & Abilities Ability to select the most appropriate software based on the nature of the work and knowledge of the features of the full range of software types; Ability to create documents using multiple software types (e.g., reports containing graphics, charts or tables); develop new databases or spreadsheets
Ability to concentrate in order to produce highly accurate results
Ability to project a cordial, efficient demeanor for long periods of time
Ability to use methods appropriate for the situation when learning new things and understand the implications of the information learned
Ability to applies extensive knowledge of company policies to complete assignments
Duties and Tasks Document Preparation
Assists senior staff in preparing reports by collecting data, coordinating program initiatives, and tracking projects
Correspondence
Prepares responses to routine inquiries as well as responses on behalf of senior level management; Composes and proofreads formal documents
Creates formal correspondence in accordance with accepted standards and/or operating procedures
Functions as representative of Staff VP and acts as liaison by providing accurate, timely advice on procedures, reports, requirements, and other matters necessary to implement Director Staff VP's policies, directives, and instructions
Meetings
Prepares agendas and makes arrangements for senior level staff, councils, corporate and inter-divisional meetings, both internal and external to the organization: prepares briefing materials and supporting documentation for use by senior staff at meetings
Arranges travel and secures authorization for expense reimbursements for guest attendees, speakers, or consultants
Travel & Expense
Computes cost of travel and accommodations, reconciles and processes travel vouchers, collects receipts, and reports spending to the budget office using agency-directed travel software and/or travel programs
Makes commitments for the Staff VP without prior approval
Schedules Staff VP appointments without prior approval
Contacts parties to confirm or reschedule Staff VP's appointments
Notifies the Staff VP of pending appointments and provides background material
Leadership
Plans the integration of day-to-day actions & activities with long-range projects; Establishes and implements office procedures and practices affecting subordinate offices and/or divisions
Education and Experience A minimum of High School Diploma or the equivalent is required. In addition, a minimum 8 years of directly related experience is required. Bachelor's degree in Business or related field is preferred.
Applicant must be a US Citizen.
Interface Main liaison with other departments or organizations
Most contact is with internal/business unit co-workers, managers, directors, and executives
Additional Information Performs administrative and support services for Staff VP (C4S President's direct report) level management
Assignments are fairly complex in nature and deadline-oriented
Reports to Staff Vice President (C4S President's direct report)
Works under general supervision; may direct work of administrative assistants
Assignments require independent judgment and good understanding of the technical aspects of the job
Shares routine and non-routine information; communication is verbal and written
Time management skills to complete work activities and prioritize that of subordinate secretarial or clerical staff to meet required deadlines; work is reviewed to ensure that the overall objectives of the position are met
